The latest version of Dynamics NAV introduces even deeper integration with other Microsoft tools such as Dynamics 365, PowerApps, Microsoft Flow, Office 365 and Power BI. Integration with Dynamics 365 for Sales

Dynamics 365 for Sales (formerly known as Dynamics CRM) is a solution that is perfectly integrated with Microsoft Dynamics NAV. It has been designed as a ready-to use solution. With just a few steps, you can easily connect to the Dynamics 365 for Sales service. The assisted setup helps you synchronize your data across the two apps, including the functionalities for sales orders, item availability, units of measure, and currencies.

Now, using the instructions, you can run full synchronization of your solutions provided that the CRM connection has been set up. The synchronization runs in the background, which enables the user to continue working. The setup guide also describes how to couple the sales force and CRM user functionalities. The coupling of these two elements is a prerequisite for any synchronization of data between Dynamics 365 for Sales and Dynamics NAV.

From the Setup window, you can open the Integration Synchronization Jobs window to check the progress of current synchronizations and to see detailed information about the number of records in Microsoft Dynamics NAV and the number of records in the connected Dynamics 365 for Sales solution.

Record coupling between Dynamics NAV and Dynamics 365 for Sales

To define the setup for Dynamics NAV and Dynamics 365 for Sales coupling, the user can set up a filter for the list of CRM records. With such a filter, synchronization will cover only records that fulfill defined criteria. If you disable the synchronization with Dynamics 365 for Sales, all synchronization jobs will be disabled.

Analyzing financial statements in Microsoft Excel

In the Business Manager and Accountant role centers, Dynamics NAV users can select financial reports to be viewed in Excel. The reports selected can be opened both on a desktop client and in a Web browser in Excel Online. The current version provides predefined Excel reports such as:

Bulk invoicing from Bookings

Companies using the Bookings app in Office 365, can use the solution to do bulk invoicing for bookings. The Uninvoiced Bookings page in Microsoft Dynamics NAV provides a list of the company's completed bookings. In this page, you can quickly select the bookings you want to invoice and create draft invoices for the services rendered.

Vendors synchronized with Lexmark Invoice Capture Service

Lexmark Invoice Capture Service synchronized with Vendors enables improved vendor recognition. When "learning" the program, the user can select vendors manually and assign new invoice templates to them. Vendor information including number, name, address, VAT registration, phone, and bank account data is transferred to Lexmark ICS when the synchronization process is run.

Migration from QuickBooks

The QuickBooks extension enables the transfer of payroll transaction files in the QuickBooks IIF format. With this extension installed, it is possible to import information collected within the system such as payroll data, payroll accounts, descriptions and amounts. In the import process, data is mapped collectively for each payroll account. The extension also contains a sample payroll file that can be used for testing the functionality in a demo company.

Personalized work environment

In NAV 2018, with just a few clicks, the user can display the data that is relevant to the user’s role and scope of responsibilities, or optimize the interface for data entry in the browser.

With personalization, it is possible to:

  • Move and hide the content such as columns, fields, fact boxes, graphs and KPIs
  • Add new information in columns and fields
  • Block any column in a list to make it visible when scrolling.

Personalization in the Web Client

It is possible for each system user to personalize the interface in a browser. All changes are immediately saved, they are visible only to the user, even if the user signs up into the app from another device.

The latest version has been enhanced with functions and tools that enable the user to:

  • Move, hide or show a field on a page
  • Move, hide, or show a column on a page
  • Freeze columns to keep them visible while scrolling, just like in Microsoft Excel
  • Move or hide cues
  • Move or hide parts, such as FactBoxes or role center parts.
  • Clear personalization from a page and start fresh.
  • IT administrators have the ability to block personalization for groups of users from the Profilepage, or clear personalization from all pages or from a specific page for a selected user.

New reporting capabilities

Dynamics NAV 2018 ensures better access to business analytics tools. System users can act faster, make better decisions, benefitting from the enhanced capabilities and deeper integration.

Power BI reports accessed directly from the ERP system

Business analytics tools integrated with Microsoft Dynamics NAV are always on hand. With new enhancements, it is possible to share Power BI reports from the lists that are most frequently used in the ERP system. In Power BI, the user can work interactively with reports and filter them by selecting records from the associated list pages.

Report preview and printing

NAV 2018 offers a new Report Preview feature that can be used to display invoices, tax returns, check lists and balance sheets directly in the system without having to download files. The function is easy to use both on desktop computers and mobile devices. The user can work with data easily: click, type, swipe or pan, zoom and flip pages, copy texts and use links. Printing can be run directly from a browser.

With just a click on the Preview button on report request pages, the user can preview a report selected. The report is displayed by using the new PDF Viewer control. PDF Viewer also helps the user navigate the report and download it. The report preview in the Web client has been enriched with a new design and additional features. It works with all browsers. Several new features such as report zooming and downloading are also available on the toolbar. Two new features have been designed for text selection and panning:

  • Selecting a text – This feature lets the user select one or more words, paragraphs or rows in the report, and then copy and paste them to other places within the application, such as a page in the Financial Management module or a Microsoft Word document.
  • Panning – This feature lets the user move the selected area of the report in any direction, keeping other areas visible at the same time. The features are helpful when the view is zoomed in.

Intrastat reporting improvements

In Dynamics NAV 2018, it is possible to set up the obligatory preparation of Intrastat reports. In order to streamline Intrastat reporting, it is necessary to set up default transaction types for the standard sales and purchase processes, including sales and purchase returns. With this setup, whenever a new document to be included in an Intrastat report is entered, the system uses the default transaction type values from the Intrastat Setup window.

To view Intrastat journal lines that contain errors to be corrected before submitting, the user can use the Intrastat Checklist report. The report shows all details of the error, and the user can toggle settings to show only the lines with errors or all the lines.

Improvements that boost productivity

The latest version of Dynamics NAV introduces a variety of solutions that facilitate collaboration between ERP system users, increasing their efficiency and effectiveness by automating processes and optimizing user tasks.

Image Analyzer

NAV 2018 offers a new enhancement – Image Analyzer that is a powerful image analyzing tool. By using Computer Vision API for Microsoft Cognitive Services, the tool detects attributes of images added to item cards and contacts. Based on defined attributes, it can recognize age, sex of a person or colors and types of items.

User Tasks

The new functionality can be used to create alerts that notify the user of tasks planned. Each Dynamics VAV user can create his/her own tasks and plan tasks for other users. In addition, in the Delete User Tasks report, the user can run a batch job to delete multiple tasks.

Employee ledger entries

A new type of accounts and balancing accounts have been added to the general journal entries. By posting the Employeetype entries, employee ledger entries are created. Moreover, it is possible to post and withdraw payments to theEmployee type entries.

Enhanced functionality of the Change global dimensions report

In earlier versions of Dynamics NAV, it was possible to use the Change Global Dimensions report to post one transaction; if the transaction was large the process blocked all other activities. In NAV 2018, the task is parallelized. By using separate independent background jobs, it is possible to execute the posting process per table. At the same time, other users can work with table data that has not been selected for the update of global dimensions in the read-only mode. Any uncompleted task can be rerun from the place where the process failed.

Batch posting of orders, invoices and credit memos

Microsoft Dynamics NAV 2018 offers an easy-to use batch posting function for posting orders, invoices, credit memos. To post multiple documents, the user just clicks the documents and the Post selected button.

Submission of EC Sales Lists with more than 9999 lines

The function supports the submission of EC sales lists with more than 9999 lines. All the user needs to do is to set a maximum number of lines for the EC Sales List report to 9999 in the VAT Report Configuration window. When such large EC Sales List reports are submitted, the system will generate messages and send them to a relevant portal (in UK: Government Gateway). The results of submission are displayed in log entries.

Cancelling or correcting job related posted invoices

In Dynamics NAV 2018, it is much easier to cancel a posted sales invoice, for example if it contains a mistake like forgetting to specify a discount or choosing the wrong dimensions. A credit memo will be created, just by selecting the Cancel or Correct actions on the posted invoice. At the same time, the job planning lines will be created automatically in the background.

Posting directly to general ledger accounts from documents

If it is necessary to add an additional fee or service to a sales or purchase document, but the item is not in the item catalog, it can be added on the fly in the document. Moreover, the revenue is posted to a relevant general ledger account from the document lines.

Posting setup improvements and missing posting notifications

In NAV 2018, it is possible to indicate mandatory G/L accounts that must be set up to cover the posting scenarios with specific posting settings. On posting setup cards, the user can view only the accounts for which posting functions should be enabled and set up.

With a new smart algorithm, posting accounts are suggested directly on posting setup lists. To run this function, the user needs only to add a combination of posting groups to be set up and click Suggest Accounts. The algorithm will analyze the existing posting setup and suggest G/L accounts with similar posting settings.

The new Dynamics NAV version has been enhanced with functions that ensure better control of deleting posting setup. This means that by selecting the Used in Ledger Entries field, the user can check if posting setup is already being used within the system. In addition, the system can be configured to notify the user of missing posting setup at the initial stage of document preparation.
